JOB SUMMARY: The Management Intern is an entry-level position for an individual interested in improving their leadership qualities in transportation. This position is designed for two candidates working together in the Office of Public Affairs and the Budgets and Grants Department. Each candidate will be placed with one of the departments for a period of one year. They will then rotate, switching places for their second year in the program. Emphasis will be placed on cross-functional projects, including making presentations to senior management and participating in meetings and other collaborative efforts with partner transit agencies throughout the Bay Area. A mentor will be assigned to each intern to facilitate learning about the agency and the public transportation industry.
EXAMPLES OF ESSENTIAL FUNCTIONS* AND DUTIES·:
Public Affairs
- Assists with outreach to the general public, decision makers, opinion leaders, and community partners
- Develops and maintains contact databases to improve the effectiveness of communication campaigns
- Assists with the deployment of new internet based communication tools, which may include social networking platforms
- Writes for the agency newsletter - SamTimes
- Receives certification and participates in Operation Lifesaver community presentations on rail safety
- Receives certification in the Roadway Worker Protection for rail related assignments
- Assists with legislative research
Capital Programs
- Assists in the preparation of fund programming, grant applications and allocation requests and the processing of funding agreements
- Assists in the monitoring of grant expenditures, reporting on the status of grant funded projects and close-out of funding agreements as needed to meet grant requirements
- Provides analytical research on new funding opportunities and funding issues associated with existing grant funded projects
- Assists in the development of the capital improvement program as needed
- Assists in the preparation and monitoring of the Transportation Authority (TA) budget
- Works with the Senior Budget Analyst and Manager, Budgets to establish procedures for the TA budget, including, but not limited to, tracking allocations, reporting on project progress and reconciling and tracking project budgets
- Acts as a liaison between Planning, Engineering & Construction, and Budgets to coordinate TA work, including work on the strategic plan, calls for projects and other related items.
- Assists in the ongoing development of a grants compliance program
- Coordinates the implementation of process improvements within the Budgets and Grants Department
SUPERVISION: The Public Affairs position will work in support of the Office of Public Affairs and its three divisions: Community Relations, Government Affairs and Public Information. The Capital Programs position will support the Budgets and Grants Department within Finance and Administration, and will have to interface with other departments throughout the organization.
MINIMUM QUALIFICATIONS: The Management Intern must have received a graduate degree from an accredited college or university no more than two years prior to May 2010 in public administration, public policy, urban or regional planning, business administration or a closely related field. Must have excellent verbal and written communication, presentation and problem-solving skills. Must possess a valid California driver license with a safe driving record. Experience preparing professional grant applications and quantitative analysis reports is a plus. Proficiency with Microsoft Office Suite is desired. Experience with Adobe Creative Suite is a plus.
