Part-time, 20 hours per week.
Duties and Responsibilities:
§ Provide support for the office and members of the department as needed, including: Answer and direct phone calls, greet visitors, organize meetings, administrative support for members of the department as needed, order office and kitchen supplies, process invoices, maintain vendor relationships, arrange for deliveries, service calls, and receive and / or provide training/assistance on office equipment and internal systems, and such other administrative duties as are necessary or appropriate.
§ Liaison with Quest Diagnostics business units and business functions, including but not limited to Human Resources, Information Technology and Finance/Accounting.
§
Responsibility for maintaining
documentation and records as necessary or appropriate.
§ Responsibility for maintaining the Government Affairs intranet site.
§ Responsibility for assisting Director, Federal Government Affairs in the preparation and filing of Lobbying Disclosure Act reports, including but not limited to requesting information from individuals and business functions needed for such reports;
§
Assisting with grassroots / grasstops
functions, including maintenance of database, distribution and follow up on
internal communications, and other related activities.
§
Monitor legislative and regulatory
activity, determining relevance to company, and providing relevant reports to
government affairs staff and others.
§
Assist with QuestPAC, including
organizing meetings, distribution of communications, preparing meeting
materials, tracking check requests against approved budget and entering checks
in tracking software, providing reports as necessary for compliance with State
and Federal requirements, preparing and sending correspondence, responding to
fundraiser requests, and maintaining all documentation and records.
§ Arrange and prepare handout materials for meetings with federal and state officials and their staffs, as well internal meetings.
§ Maintain accurate and up-to-date data on numbers of Quest Diagnostics employees and facility locations and provide reports by district, state or other location, as requested.
§ Assist with the coordination of logistics and presentation materials for laboratory tours / site visits at company facilities by federal and state officials and their staffs or other policy-makers.
Perform such other duties and responsibilities as assigned.
Qualifications:
- Minimum five years high-level administrative experience.
- Prefers minimum of three years experience in government affairs/relations office
- Previous experience and knowledge of PAC and Lobbying Disclosure requirements a plus.
- Knowledge of intranet web design / editing a plus.
- Strong verbal and written communications skills.
- Ability to manage a number of projects simultaneously and with minimal supervision.
- Ability to work and collaborate with all levels of the company including the highest levels of management.
