Coordinator, External Affairs

The External Affairs Coordinator reports directly to both Directors of External Affairs and supports the entire Philadelphia External Affairs team. The person will be required to perform a variety of clerical and administrative tasks pertaining to Comcast's political fundraising programs.

Responsibilities:

  • Support both Directors and one Manager of External Affairs by performing tasks including, but not limited to:
    • Composing, editing and proofing correspondence;
    • Scheduling meetings and managing daily calendars;
    • Coordinating travel arrangements and maintaining itineraries;
    • Providing administrative support for PAC and other political campaign finance efforts by creating check requests, maintaining contribution databases, preparing mail packages, and keeping accurate hard and softcopy records;
    • Developing and editing documents, presentation materials, memoranda and meeting notes (which may include highly confidential information);
    • Preparing and submitting expense reports;
    • Distributing mail, packages, faxes and other correspondence in a timely manner;
    • Maintaining department files; and
    • Assisting with and/or assuming responsibility for special projects as assigned.
  • Tracking of individual political giving as required by reporting purposes:
    • Documenting employee political contributions;
    • Maintaining database and supporting hardcopy documentation;
    • Providing reports as needed, including annual summary; and
    • Assisting in communication with donors and candidates' fundraising contacts.
  • Assist in all aspects of fundraising events:
    • Developing invitation lists and distribute invitations;
    • Working with onsite catering company and building management to ensure meeting rooms are prepared properly;
    • Creating name tags, table tents and any other materials needed for events; and
    • Providing logistical support during fundraising events.
  • Other responsibilities:
    • Supporting Senior Vice President and Public Policy Counsel when necessary;
    • Conducting internet research;
    • Assisting in all aspects of annual solicitations for internal and external PACs; and
    • Assisting with preparation and distribution of PAC Newsletter.

Skills needed:

  • Bachelor's degree required;
  • Mastery of office systems, skills, and software including MS Office suite (Outlook, Word, Excel, and PowerPoint) required;
  • Experience with MS Access preferred;
  • Excellent oral and written communication skills;
  • Strong organizational skills and meticulous attention to detail;
  • Interest in the political process and government relations preferred;
  • Previous customer service experience a plus;
  • Ability to handle confidential information with discretion;
  • Ability to multitask in a fast paced environment;
  • Ability to prioritize work assignments;
  • Highly developed interpersonal skills;
  • Willingness to take on additional/new assignments and responsibilities; and
  • Ability to work overtime as needed.
