Administrative Assistant

The Securities Industry and Financial Markets Association (SIFMA) are looking to hire a talented administrative assistant for its Public Policy and Advocacy division.  Candidate must be a polished and professional team player, able to prioritize and juggle assignments, possessing tact, diplomacy and superior office and people skills.  Position will support several Managing Directors who maintain heavy work and travel schedules.

Successful candidate must demonstrate an ability to anticipate needs and work proactively.  It is critical that the applicant be very detail-oriented, organized and capable of multi-tasking.  Additionally, the candidate must possess superior proofreading skills.

Specific responsibilities include:

-    Ability to interpret emails and be responsive and proactive in assisting Managing Directors without explicit instructions;

-    Ability to research projects, online and via hard copy reference documents and conduct other professional related tasks;

-    Organize, plan and coordinate congressional briefings, fundraisers, committee meetings and many other events;

-    Support committee staff advisors, which includes roster and e-mail list maintenance, setting up conference calls, and handling meeting logistics;

-    Prepare briefing books, background materials, itineraries, etc;

-    Prepare draft emails to committees when necessary;

-    Assist with the maintenance of a contact database which includes congressional staff, outside counsel, government representatives, and firm representatives;

-    Retrieve articles, legislation, documents and information from Internet sources;

-    Assist with document production for Congress and member-firms;

-    Routine administrative duties include preparing correspondence, making travel arrangements, preparing expense reports, credit card reconciliations, check requests and travel reimbursements, maintaining files, assisting with front desk phone coverage and other general administrative duties;

-    Any additional duties as needed.

A flexible work schedule is important and the candidate must be willing to work occasional overtime.

Applicants should have an Associate's degree, minimum of 3 years of experience in an equivalent position, strong Word and Excel skills. PP and Access a plus.
